VAT Invoice Requirements in the UK: What HMRC Expects

If you are VAT-registered in the UK, you must issue a VAT invoice for taxable supplies to other VAT-registered businesses — and the format is not optional. HMRC specifies exactly what a valid VAT invoice contains. Missing details can delay your customer’s input-VAT reclaim, which usually means delayed payment for you.
What a full VAT invoice must show
- A unique, sequential invoice number
- Your business name, address and VAT registration number
- The invoice date and the time of supply (tax point) if different
- The customer’s name and address
- A description of the goods or services supplied
- For each item: the unit price excluding VAT, quantity, VAT rate and amount payable excluding VAT
- Any cash discount offered
- The total VAT charged and the total amount payable
Simplified and modified invoices
For retail sales under £250 (including VAT) you may issue a simplified invoice showing your details, the tax point, a description, the VAT rate and the gross amount. Between £250 and higher-value retail sales, a modified invoice showing VAT-inclusive amounts is acceptable if the customer agrees.
Which VAT rate applies?
The standard rate of 20% covers most goods and services. The reduced rate of 5% applies to domestic fuel, children’s car seats and certain residential conversions. Zero rate (0%) covers most food, books, newspapers and children’s clothing — zero-rated sales still appear on VAT invoices and returns. Exempt supplies (insurance, education, health) are outside the VAT invoice system entirely.
Not VAT-registered? You must not charge VAT or mention VAT on your invoices at all — a plain invoice is correct until your taxable turnover crosses the registration threshold.
